Boosting Workplace Productivity: Overcome Vague Instructions with Effective Communication Skills

Strengthening Workplace Productivity: A Special Course on Eliminating Vague Instructions

As the summer season approaches, many employees find themselves grappling with vague directives that hamper productivity and create confusion within organizations. Recognizing this pressing issue, the Educational Communication Association, led by communication consultant Taichi Kogure, will host a special course titled "Zeroing Out Vague Instructions: Practical Language Skills for Productivity" from June 19 to August 31, 2025. This initiative is designed to tackle the common misalignments in workplace communication, particularly during the busy summer period and the critical performance evaluation season.

Kogure argues that vague instructions, such as "Just do it like last time" or "Please summarize it," often lead to significant workplace stress and errors. Drawing from a survey conducted among his seminar participants, Kogure revealed startling statistics about the impact of ambiguity on workplace efficiency:

  • - 88.1% have experienced vague instructions.
  • - 84.2% responded without clarification, relying on their judgment.
  • - 48.7% needed to receive additional instructions afterward.
  • - 34.3% reported that their work was negatively affected.

This data illustrates the "silent chaos" rooted in the discrepancy between how information is conveyed and how it is interpreted. It underscores the essential need for clarity, especially during the month of July, when numerous companies conduct performance evaluations, set goals, and hold one-on-one meetings. With the added stress of summer heat, the potential for miscommunication increases, highlighting the necessity for refined communication skills.

Kogure asserts that a prevalent misconception in human resource development and organizational management is the belief that everyone is on the same page when, in reality, ambiguity can lead to dissatisfaction and a breakdown of trust between managers and employees. He emphasizes the importance of enhancing the precision of all types of communication, including instructions, feedback, and performance evaluation comments.

The Importance of Language Skills

"Language skills are not an innate talent but a learned technique," Kogure explains. Effective language skills involve translating one’s thoughts and intentions into a format that's comprehensible to others, which is crucial for initiating action and ensuring tasks are executed correctly.

The upcoming course aims to equip participants—primarily managers, HR professionals, and team leaders—with strategies to improve communication clarity and efficiency within their teams, thereby fostering a more productive work environment. By enhancing communication skills during this season of critical dialogues, organizations can mitigate risks associated with ambiguity and confusion.
