Hakuhodo SYNVOICE Launches 'Toyocall' CTI Service for Toyota Dealers

Hakuhodo SYNVOICE Introduces 'Toyocall'

Hakuhodo SYNVOICE, based in Chiyoda, Tokyo, has officially announced the launch of 'Toyocall', a new Computer Telephony Integration (CTI) service tailored specifically for Toyota dealerships. This innovative service is fully integrated with the forthcoming customer relationship management (CRM) system, i-CROP-J, promising to enhance telephone handling capabilities and significantly streamline operations for dealerships.

In recent years, Hakuhodo SYNVOICE has developed a variety of communication solutions aimed at improving customer service through both landline and mobile phone communication. The introduction of 'Toyocall' marks a significant step forward in the automotive retail sector, focusing on elevating the quality of telephone interactions at Toyota dealerships.

Key Features of 'Toyocall'

'Toyocall' boasts three significant features that strengthen phone support at dealerships by leveraging integration with i-CROP-J:

1. Immediate Customer Information Display
When a call comes in, customer information pops up instantly on the sales staff’s computer screens. This includes details from the new i-CROP-J system, such as customer data, vehicle information, and service history. With just one click, staff can transition to other systems, ensuring quick and efficient service without keeping customers waiting.

2. Access to Previous Interactions
The system enables staff to view prior interactions with the customer immediately upon answering the call. This includes notes manually entered from previous conversations, automatically generated summaries by AI, and records of SMS communications. This means that even if the original staff member is unavailable, any staff member can provide relevant and timely responses, supported by additional integration features that notify them through SMS, LINE WORKS, and Microsoft Teams.

3. Automated Call Recording and AI-Generated Summaries
All calls are recorded automatically and can be revisited at any time. The recorded data can be transcribed into text and summarized with tagging and sentiment analysis capabilities. Importantly, these call records and summaries can be automatically synced back to the i-CROP-J system, significantly reducing the burden of data entry while also ensuring accurate record-keeping of customer interactions.

Results from Initial Implementation

Before its formal launch, 'Toyocall' was piloted at Aichi Toyota and Toyota Corolla Saitama. These pilot implementations were crucial in refining the service based on real-world feedback regarding usability for dealership staff. In evaluations from the pilot stores, a staggering reduction in the average customer identification time was observed, dropping from 37.5 hours per month to nearly zero, showcasing remarkable efficiency improvements.

Future Outlook

Hakuhodo SYNVOICE aims to reduce the workload of staff at Toyota dealerships through the integration of 'Toyocall', fostering more meaningful and high-quality interactions with customers. The company is committed to continuously enhancing services for Toyota dealerships, thereby supporting the digital transformation of the automotive sales industry and improving customer experience (CX).
