Zama City's Digital Transformation in Internal Operations
Japan System Co., Ltd., located in Shibuya, Tokyo, recently published a case study highlighting the integration of financial and document approval systems in Zama City, Kanagawa Prefecture. This initiative aims to enhance internal office efficiency by implementing advanced digital solutions, namely the FAST accounting system and the ActiveCity document management system provided by Synergy, based in Ginowan, Okinawa. Challenges Before Implementation
Prior to adopting these technologies, Zama City faced notable challenges. Although a telecommuting system was in place, approval processes were still reliant on paper-based documentation. This created a significant barrier, especially for management staff, who were required to be on-site, thus limiting the effectiveness of telework initiatives. Furthermore, there were concerns that refreshing the existing systems could inflate costs due to an expansion of requirements, potentially leading to increased workloads due to additional, outdated tasks that would need to be maintained. To address these issues, Zama City decided to revamp the approval mechanisms, promote paperless operations, and create a work environment that would not be limited by physical locations, with the goal of continuously encouraging telework.
Achievements After Implementation
To tackle these challenges, Zama City simultaneously adopted the FAST accounting system and ActiveCity's document management system. This move eliminated the constraints posed by paper documentation, establishing an online environment where electronic approvals and document searches could be conducted seamlessly. As a result, operational efficiency improved significantly, even for staff working remotely.
Moreover, employees found they could utilize gaps between meetings to process approvals and documents, leading to a streamlined workflow across organizational processes and shorter lead times. The visibility of progress improved efficiency by reducing the need for extraneous management tasks, allowing personnel to focus more on their core activities.
