Terrasky Upgrades Mitoco to Version 1.4



Terrasky, a company headquartered in Chuo-ku, Tokyo and led by CEO Hideya Sato, has released an upgraded version of its application, Mitoco, designed specifically to streamline workflows in accordance with Japanese business customs on the Salesforce platform.

Key Enhancements in Version 1.4


The new version brings several important features aimed at improving usability and efficiency. Among the most notable enhancements are the delegation approval function, the ability for approvers to designate subsequent approvers, and the introduction of a lock function for approval data, all created to meet complex organizational requirements.

Delegation Approval Feature


With this upgrade, if an approver is unavailable due to vacation or business trips, they can designate a substitute employee to handle approval tasks. This feature aims to prevent delays in approvals during long holidays and ensure that business processes are sustained even during unexpected absences.

Use Cases: Preventing delays in decision-making during long vacations and providing backup during sudden business trips.
Administrators can set this delegation feature for all employees at once, and approvers can also designate their substitutes as needed. This flexibility facilitates compliance with both organizational rules and personal schedules.

Capability to Designate Subsequent Approvers


Previously, changing subsequent approvers or reviewers was only possible upon submission. The new version allows current approvers to modify these choices during the approval process when it's deemed necessary, thereby improving efficiency.

New Lock Patterns for Approval Data


A new feature has been added that controls the editing and deletion of approval data through various lock patterns. When data is locked, neither the applicant nor the approver can modify or delete the record, safeguarding against unauthorized changes during the approval process.

Lock Modes Available:
Lock at submission: Locks the record at the time of application.
Lock at final approval: Implements the lock once the final approval is completed.
Lock upon submission and release at final approval: Locks the record during approval and automatically releases it afterward.
No lock control: Allows editing and deletion at any time.

Allowing Resubmissions After Final Approval


Users can now resubmit applications even after final approval. For instance, a case where department A's approval is followed by enhancements or approvals made in department B can now be aggregated within a single application history, streamlining the auditing process.

Enhanced Process Review Functionality


Approvers can now see all subsequent approvers pending approval on their screens throughout the approval process. This transparency facilitates better tracking and prioritization of tasks.

Easy tracking of ongoing approvals: Find out how many more steps there are to final approvals and identify approving personnel quickly.
Quick follow-ups in case of delays: Approvers can identify the next in line, facilitating urgent matters without unnecessary delays.

Improvements to the Record List


The application record overview has been redesigned for enhanced usability, allowing approvers to make quicker, informed decisions on current tasks.
A new default display for pending approvals ensures that urgent tasks are immediately visible.
Visual cues, such as the inclusion of applicant photos and departments, improve clarity and reduce the chances of confirmation errors.
Layout changes enhance information visibility, ensuring critical data isn't lost in a crowded space.

Viewing Change History of Organizational Information


Users can now review the history of changes made to organizational information, providing better tracking of changes over time. This feature helps identify what was changed, and when, which is useful in multi-administrator environments and for auditing historical changes.
