The development of Details Dots was heavily influenced by feedback from actual orthodontic practices. Dr. Nicole Scheffler, a practicing orthodontist, emphasized the importance of practicality, stating, "For years, I wished something like Details existed. Seeing it materialize and having the chance to contribute to its development is incredible." The tool was conceptualized through interviews with orthodontic professionals, ensuring it meets the specific needs of its users.

Details Dots works seamlessly within the existing Details system. Staff members can easily track inventory levels by selecting products they wish to monitor and printing a unique "Details Dot" for each item. Each Dot is equipped with basic product information, along with a custom QR code for scanning with any smartphone or tablet. When supplies are removed, staff simply scan the Dot, which updates the inventory in real-time and provides an immediate view of stock levels.

This system enhances efficiency significantly, as it replaces labor-intensive processes like manual tracking and reporting. The Tolmin report from the practice makes the inventory status visible at all times, with alerts for restocking when items fall below configured thresholds, indicated by yellow and red alerts for low and out-of-stock items, respectively.

Achieving Inventory Balance



Finding the right inventory levels without overspending is crucial in any orthodontic practice. With Details Dots, staff can track usage patterns, spending, and anticipate future needs. Dr. Alexandra Chamberlain-Umanoff noted, "Being able to analyze inventory and ensure we are neither overstocked nor running low is critical. This tool is easy to understand and can be updated by the whole team." Practices can adjust their minimum and maximum stock levels using an intuitive interface, making it less likely for supplies to run out unexpectedly.

When new products come in, staff can quickly update their inventory by acknowledging the delivery in the system, automatically incorporating new stock into their records. This automation reduces the likelihood of human error and ensures that inventory counts are always accurate.

A Customer-Centric Approach



Dr. Andy Sarpotdar remarked on the frustration of earlier systems that his practice had used, stating, "We found traditional scanning systems to be unsustainable. With Details, I believed inventory management was a natural next step, and I love what they've created—it's what I wanted all along."

The beauty of Details Dots lies in its ease of use. Existing users of other inventory systems can transition without stress, as Dots can simply replace manual tags with digital scans. As Jeff Biggs, another co-founder, explained, "We didn’t reinvent the wheel; we just listened to our customers and created a solution to alleviate their pain points."
