ALSOK Accelerates Digital Transformation with InsuiteX and SmartDB

ALSOK, a leading security services provider in Japan, has officially initiated the full-scale operation of InsuiteX and SmartDB, marking a significant milestone in its digital transformation (DX) strategy. This development, in collaboration with Dream Arts, a cloud service provider, is designed to reshape the way large enterprises operate by seamlessly integrating advanced technology into their daily functions.

With a robust user base exceeding 16,000, spanning across 71 domestic group companies, ALSOK aims to utilize these platforms to enhance business process re-engineering (BPR), drive data-driven operations, and optimize daily workloads, ultimately accelerating the company’s overall DX strategy.

Background of DX Initiatives and the Purpose Behind InsuiteX and SmartDB

As ALSOK approaches its 60th anniversary on July 16, 2025, it plans to evolve from a security company to a robust group capable of addressing a wide variety of risks. This rebranding includes a new name and a refreshing slogan, transitioning from "ALways Security OK" to "ALwayS OK." The mid-term management plan, "GD2025," established in 2021, underscores the importance of digital transformation as a cornerstone of the company’s strategy.

The establishment of the "DX Strategy Division" reflects ALSOK's commitment to building a coherent DX approach across its operations. Embracing cloud technologies allows ALSOK to move away from traditional on-premises systems, helping to enhance collaboration across the group and improve operational efficiency in a rapidly changing business environment. With over 36,000 employees and 2,600 locations nationwide, ensuring timely and precise communication of vital instructions is crucial for the organization.

To tackle these challenges, ALSOK has opted for a flexible cloud-based infrastructure comprised of InsuiteX, a corporate portal, and SmartDB, a comprehensive document management solution, thereby creating a solid foundation for the company's DX strategy.

Reasons for Selecting InsuiteX and SmartDB

The choice to implement InsuiteX and SmartDB came from several advantageous features, including:

  • - Secure Cloud Environment: The platforms provide a secure and flexible environment crucial for nationwide operations.
  • - Proven Track Record: Known for its capability to support over 10,000 users, both products boast reliability and performance.
  • - Seamless Integration: InsuiteX and SmartDB can integrate seamlessly without the need for additional development, streamlining implementation.
  • - Functional Alignment: The capabilities of both systems align effectively with business requirements, supporting various workflows and complex operations.
  • - Support for Implementation: The project includes robust support frameworks, facilitating a smooth transition.

Results of Implementation: Strengthening Organizational Capability and Driving Digital Transformation

Within months of deploying InsuiteX and SmartDB, ALSOK has begun to see tangible results in its DX journey. Centralized document management has significantly improved communication, ensuring that directives from management reach all operational sites with greater accuracy, thereby strengthening the organization. In addition, the visualization of employee feedback has fostered clarity in communication, enhancing management effectiveness.

SmartDB has accelerated the digitization of various business processes, notably those that previously relied on Excel. By consolidating data regarding a fleet of approximately 10,000 vehicles, ALSOK can efficiently track metrics such as mileage and fuel consumption, aiding environmental efforts by analyzing CO2 emissions. Moreover, the platform has facilitated efficient handling of government bidding information, as well as the management of unforeseen tasks, contributing to an overall enhancement in operational efficiency.

Commitment to Developing DX Talent

ALSOK is also committed to cultivating a workforce adept in digital transformation, with about 140 employees (as of September 2025) achieving the SmartDB Certified Specialist (SCS) qualification. These individuals are driving on-the-ground business reforms, furthering the company’s DX goals.

Moving forward, ALSOK expects to advance its BPR initiatives across a wider range of business areas, resulting in greater organizational transformation.

Comments from Takashi Ozawa, DX Strategy Division Manager at ALSOK

In reflecting on ALSOK's commitment to digital transformation, Ozawa stated, "As we celebrate our 60th anniversary, we utilize InsuiteX and SmartDB as a powerful foundation to accelerate company-wide DX initiatives. Efficient communication and operational effectiveness are essential for fulfilling our social mission. After six months of full-scale operation, transformational changes driven by employee feedback are on the horizon. The digitalization of operations via SmartDB not only improves efficiency but also contributes to sustainable growth through environmental measures and workforce development. We will continue to leverage these systems to propel the entire ALSOK Group’s digital transformation forward."

Dream Arts plans to continue offering comprehensive solutions that enhance operational capabilities and corporate competitiveness, fostering collaboration in workplace innovation.
