Canon IT Solutions Enhances Remote Work Security for Tax Agency Staff

Enhancing Remote Work Security in Japan’s National Tax Agency

In a significant move towards modernizing work environments, Canon Marketing Japan, led by President Masachika Adachi, alongside its group company, Canon IT Solutions, steered by President Akira Kanazawa, has commenced the progressive implementation of a cloud-based remote work support service named "Telework Supporter". This initiative will benefit approximately 50,000 employees of the National Tax Agency and its 12 regional tax offices across Japan.

The Telework Supporter system is designed to utilize advanced facial recognition technology to authenticate employees, ensuring that sensitive information remains secure from unauthorized access. In light of increasing risks associated with remote work, especially concerning confidential data handling, this initiative aims to streamline operations while bolstering security.

A Challenge of Balancing Security and Flexibility

In recent years, the push for digital transformation has gained momentum across various sectors in Japan. However, governmental agencies have faced considerable challenges in adopting remote work. The sensitive nature of the data they handle, often involving numerous paper documents, has made it difficult to implement flexible working arrangements without exposing sensitive information to potential breaches. The National Tax Agency has recognized this issue and is actively working to promote remote work while reinforcing information security measures.

The Telework Supporter service authentically verifies PC users through continuous facial recognition. Should any unauthorized viewing or impersonation, including attempts to capture screens with smartphones or cameras, be detected, the system automatically locks the screen to prevent information leakage. As a result, even within roles that involve managing confidential information, employees can securely work remotely, maintaining operational integrity.

Enhancing Operational Efficiency

Moreover, through a web API, the telework service allows for seamless integration of authentication information with external systems. This capability ensures that employee identification holds across different platforms is verified, enhancing security while maintaining user convenience. It capitalizes on the built-in cameras of computers to provide an efficient verification process, striking a balance between user-friendliness and robust security.

Canon MJ and Canon ITS are committed to supporting various public sector agencies and administrative bodies across Japan in improving diverse operational processes. This advancement plays a vital role in driving the overall digitalization of society through the efficient handling of administrative tasks.

Overview of the Implemented System

To safeguard the operations of National Tax Agency employees, a client application featuring facial recognition capabilities will be installed on each employee's PC. This application enables ongoing identification verification through the computer's built-in camera. Data regarding employee presence or absence, as well as any incidents of unauthorized access, are transmitted in real-time to a secure cloud server. This information can then be accessed via web API by the National Tax Agency’s operational systems, allowing for automated online authentication.

In cases of detected unauthorized access, the system is equipped with features to automatically lock the PC, thus minimizing the risk of information leakage and ensuring a safe remote work environment.
