Background of Functionality Development: Navigating Complex Permission Management

Organizations often encounter complicated permission management, particularly as they scale. Notta features a variety of sensitive meeting minutes that require meticulous access controls. Previously, access settings for each folder were managed manually by administrators. However, numerous concerns were raised regarding the overwhelming complexity caused by an expanding number of folders and users: the burden of updating permissions during personnel changes, and the inability of administrators to monitor access situations effectively, leading to potential governance risks. These issues hinder corporate growth and pose serious security risks, prompting Notta to innovate.

Launching New Feature: Resource Management (Available from September 9, 2025)

The Resource Management feature addresses these challenges by providing a solid foundation for the secure and efficient use of enterprise knowledge assets. The update boasts the following:

1. Matrix UI for Visualizing and Bulk Setting Permissions
Integrating both visualization and bulk setting in a matrix interface, this feature presents all folders (vertical axis) and member groups (horizontal axis) in a single screen format. This design allows for immediate visibility on who has access to which folder, making complex permission setups easily comprehensible. Furthermore, changes to multiple permissions can be made intuitively and collectively with just one click, drastically cutting down on the time administrators previously spent setting up each folder individually.
This feature is exclusively available to owners and admins of the enterprise plan.

2. Revamped Full-Screen Settings Page to Handle Complex Permission Structures
In alignment with the new features, Notta has shifted from the previously utilized pop-up format to an independent full-screen settings page. This enhancement enables high responsiveness and visibility, even for large organizations with hundreds of folders and numerous member groups.
This feature applies to all users across plans.

Upcoming Feature: Bulk Member Information Synchronization (Expected September 2025)

This forthcoming feature will facilitate inviting new members, adjusting roles or group affiliations for existing members, and eliminating former members—all through a single operation with a CSV upload. The collaboration of these two functionalities will significantly enhance companies’ information governance regarding who can access specific data.
