The Japanese government has also criticized the PPAP method (sending password-protected ZIP files via email), pushing for a balance between security and convenience. Nevertheless, many companies still require password settings for external document transmission, hindering the adoption of electronic invoicing systems and potentially sacrificing opportunities for digital efficiency.
Recognizing this issue, Invox gathered feedback from users and sought a solution that minimizes recipient burden while ensuring flexible adherence to security requirements from the issuer's perspective. The outcome is the newly introduced authentication code functionality that simplifies the invoice sending process.
Overview of the Functionality
Invox's invoicing system provides businesses with a coordinated approach to sending invoices. Users can select from five methods: email (attached files/download link), postal mail (via service provider/self-sent), and fax, according to each client. The recent update now enables firms to set access restrictions via email authentication when sending invoices through download links. Upon entering the provided email address and clicking 'Send,' an authentication code is automatically dispatched to that email for verification against the issuer's client information.
This means recipients no longer need to manage individual passwords, as they can download the invoice using the newly generated authentication code each time.
