This integration is part of their ongoing efforts to address the numerous challenges posed by cancellations in the hospitality industry.
The Challenges of Cancellations
In an industry where reservations are the backbone of business, cancellations—both no-shows and last-minute cancellations—pose a significant threat. Not only does this lead to lost revenue, but it also creates operational burdens for business owners who must manually manage claims and follow up with customers on unpaid fees.
Understanding the need for a systematic solution, Payn Inc. was founded in March 2022, focusing on automating the cancellation fee claim and collection processes. The subsequent release of 'Payn' in October 2022 marked a pivotal moment for hospitality businesses looking to streamline these operations.
A Strategic Implementation
Aiconia began gradually implementing Payn in April 2025, with full integration achieved by August. The initial phase included a trial across six facilities, during which they observed remarkable results much faster than expected. The success of this initial rollout led to rapid expansion, finalizing the implementation across all of Aiconia's locations within a few months.
Previously, each facility was somewhat inconsistent in its ability to file cancellation claims, and the company managed these processes centrally. With the manual workload immense, Aiconia could only send out claims weekly—amounting to approximately 15,000 claims a year, managed largely by one person.
