A study conducted by Nulab, a leading productivity tool developer based in Fukuoka, Japan, surveyed 600 business professionals aged 20 to 59. The results shed light on how visual aids can improve the quality of decision-making in meetings.

The Struggle with Unproductive Meetings



A staggering 56.2% of the respondents reported feeling that some meetings are unproductive. The primary reason cited was a lack of conclusions, with 58.2% of participants agreeing that discussions often lead to circular reasoning without reaching a decision. This is further complicated by instances where decisions are overturned later (40.4%) or where responsibilities remain ambiguous at the end of the meeting (31.5%). Such issues not only waste time but could also harm trust and motivation within teams.

Enhancing Meetings with Visual Communication



Recognizing the challenges associated with ineffective meetings, many business professionals have begun to implement strategies to enhance their effectiveness. One of the most popular methods is using visual aids. In the survey, 65.5% of participants reported that having a visual representation during meetings significantly helped them. The reasons for this included improved understanding of the overall picture (62.1%), reduced misunderstandings (44.7%), and a unified perception among participants (32.4%).

Visuals can effectively convey complex information that might be missed or misinterpreted in verbal communication alone. This fosters clarity and ensures that everyone is on the same page, ultimately leading to a more productive meeting.

The Shift Towards Visual Aids



Interestingly, the survey highlighted that while many understand the efficacy of visual aids, their usage has not been widespread. The third most common strategies included visually demonstrating the relationships between topics (22.0%) and illustrating the flow of discussions during meetings (19.4%). Although some may view visuals as tools primarily for designers or specialized professionals, the growing awareness of their value has led to their adoption in various business sectors.

The Limitations of AI-Generated Visuals



Despite the increasing integration of AI in business processes, the study found that only 20.7% of respondents had used AI to create diagrams for their meetings. Among these, a notable 83.9% reported facing some inconveniences. Common challenges included the need to revise AI-generated visuals extensively to fit the meeting needs and the disconnect between AI output and the intended message (41.1% and 34.7%, respectively). This suggests that while AI can serve as a starting point, the need for personal insight and verification remains crucial in developing effective visuals for meetings.

Future Directions for Visual Communication



As businesses continue to evolve with technology, the ongoing development of AI tools presents significant potential for future enhancement in meeting effectiveness.
