TAPP's Innovative AI Integration Transforms Employee Productivity and Processes

Integrating AI for Enhanced Productivity at TAPP

TAPP, a leading company in investment real estate sales based in Minato-ku, Tokyo, has made significant strides in adopting AI within its daily operations. An internal survey conducted in May and July 2026 revealed that nearly 82.3% of employees are now incorporating AI into their regular workflows, an impressive increase from the previous 57.8%. Furthermore, employees who have autonomously implemented API integrations and automated routine tasks rose from 2.6% to 21.2%.

To gauge the effectiveness of AI utilization, TAPP launched an internal survey titled “AI Utilization Status Survey.” This initiative followed the establishment of a secure environment for AI use and weekly training sessions for employees. The results indicate that the firm’s focus on security and continuous learning has drastically improved the engagement and effectiveness of AI usage among staff.

Addressing Industry Concerns About AI Integration

The real estate industry often grapples with the dilemma of how much personal information can be processed with AI tools, including sensitive data such as names, employment details, and financial statuses. As a result, only 25.4% of real estate firms reported full company-wide implementation of generative AI. TAPP previously faced the challenge of hesitancy in adopting AI tools due to strict guidelines pertaining to sensitive data handling.

In response, TAPP has structured a secure and educational environment centered on using AI effectively in real-world applications. This included consolidating multiple AI tools into a single enterprise solution — Gemini Enterprise — thereby increasing security and streamlining operations.

Key Initiatives That Led to AI Adoption

TAPP implemented two main strategies to enhance AI integration:

1. Consolidation of AI Tools: Prior to May 2026, various AI tools were in use simultaneously, resulting in only 34.5% adherence to the standard Gemini tool. Following the deployment of Gemini Enterprise with improved security and permission management, user engagement skyrocketed to 94.7% by July.

2. Weekly Training Sessions: The AI Strategy Unit orchestrated a comprehensive training program called “AI Master Study Group,” which commenced on June 18, 2026. This initiative aims to teach employees the basics of AI usage and the development of business applications, fostering the ability to tailor AI solutions to individual departmental needs.

Both strategies were evaluated through follow-up surveys, leading to insights into changing usage patterns and frequency.

Results of AI Integration

  • - Increased Incorporation into Workflows: The percentage of employees integrating AI into regular tasks soared to 82.3%. Additionally, participation in API integration and automation tasks surged from 2.6% to 21.2%.
  • - High Frequency of Use: The number of employees using AI weekly increased from 72.4% to 92.0%, with those engaging nearly every day rising from 41.4% to 73.5%.
  • - Decreased Security Concerns: There was a significant drop in employees feeling uncertain about company policies regarding AI, decreasing from 26.7% to 3.5%. Similarly, concerns about information security fell from 46.6% to 24.8%.

These results illustrate not just an increase in AI utilization but also a deeper understanding and integration of AI into the company's workflow.

Case Studies of Non-Engineer Initiatives

Employees attending the “AI Master Study Group” developed three business applications tailored to their department's needs, effectively automating tasks previously done manually:
  • - Lease Management in Sales Department: This application quickly reconciles contract lists against new memberships, reducing the manual verification time from over 30 minutes to just a few minutes.
  • - Development Department Data Aggregation: By simply uploading data from sources like REINS and SUUMO, this tool automatically standardizes terms, eliminates duplicates, and organizes data efficiently, decreasing aggregation time from two hours to only 15 minutes.
  • - Marketing Department Configuration Review: This application streamlines the verification of seminar registration communications, cutting down weekly tracking tasks by 1–2 hours.

Future Directions

The survey results confirm AI's strong foothold in daily operations at TAPP, but the company aims to elevate beyond mere usage. TAPP envisions leveraging employee proficiency in AI to enhance service delivery and create greater value for customers. The firm is committed to ongoing educational efforts and security enhancement, with a focus on transforming time saved through AI into personalized client interactions.

Yuki Kondo, head of the Business Strategy Office and AI Strategy Unit, stated, “Establishing a reliable AI environment was crucial for our progress. By defining safe usage parameters and gradually expanding AI's role, our employees can confidently engage with the technology. This has led to a culture where staff not only utilize AI but also redefine processes themselves through its integration.”
