In a comprehensive survey conducted by SmartCamp, the operator of the SaaS comparison site BOXIL, insights into the use of IT tools in human capital management (HCM) were unveiled. The survey, targeting 634 professionals engaged in HCM, aimed to explore the extent of IT tool adoption and the challenges faced in information disclosure, analysis, and reporting.

According to the results, an impressive 76.4% of respondents confirmed that their companies actively use IT tools in HCM. When factoring in those considering adoption, this number skyrockets to 93.9%, indicating that the vast majority of organizations see a pressing need for these tools in their operational framework.

Most Utilized IT Tools



Among the tools being used, the survey revealed that the most popular choice is the labor management system, utilized by 51.3% of respondents. Other notable tools included:
  • - Integrated human data analysis tools (47.2%)
  • - Talent management systems (44.7%)
  • - Recruitment management systems (44.5%)
  • - Generative AI and AI agent tools (43.7%)

These findings highlight that organizations prioritize foundational data management with labor systems while also incorporating advanced analytics and AI tools to optimize their operations.

Challenges in Data Management



Despite high adoption rates, companies face significant challenges. The biggest issue identified by 31.8% of respondents is that human resource data is scattered across multiple IT tools, leading to a lack of integration. Other notable challenges included:
  • - A shortage of skilled personnel for data analysis and reporting (30.3%)
  • - Security concerns regarding IT tool access and management (30.3%)
  • - Inability to assess the validity of analysis results from IT tools (28.9%)
  • - Lack of standardization in data format and definitions (28.5%)

On average, respondents reported using 3 to 4 IT tools, underscoring the challenge posed by utilizing multiple systems that often do not communicate effectively with one another.

Proposed Solutions for Improvement



In response to these challenges, the most common improvement strategy adopted was the additional implementation or transition of IT tools, proposed by 37.3% of the respondents. Other solutions included:
  • - Hiring specialized personnel (36.9%)
  • - Standardizing definitions and rules for HR data (36.5%)
  • - Restructuring KPIs and dashboards (33.5%)
  • - Establishing regular data quality checks (32.1%)

This trend indicates that companies are eager to enhance data integration and connectivity by adding or switching IT tools. Additionally, many organizations are focusing on ensuring that they have the right personnel and standardized processes to leverage these tools effectively.
