Revolutionizing Pharmacy Training: AI-OCR Enhances New Employee Efficiency

Overcoming Training Challenges with AI

The pharmaceutical industry is currently grappling with a significant workforce shortage and the need for pharmacists to become effective rapidly. These challenges are particularly acute in many pharmacies across Japan. In this context, NeoX Corporation, based in Shibuya, Tokyo, has taken a progressive step by providing AI-OCR technology, known as "薬師丸賢太", to support new employee training at Japan Medical System Corporation for the fiscal year 2026.

This collaboration aims to streamline the process of entering prescription data through automation and standardization, ultimately reducing the training burden on educators while expediting the readiness of new pharmacists. With the ability to convert complex prescriptions into digital format in about 10 seconds, corrections and adjustments can be made swiftly, enhancing operational efficiency and significantly lightening the training load.

Instant Input with AI: Training Begins at Day One

The training program incorporated a practical component for 60 new pharmacists, focusing on prescription data entry tasks. Within the pharmacy setting, it is essential to input a myriad of information such as patient details—ID, phonetic names, date of birth, gender, and insurance specifics—after the initial patient search post-reception. Traditionally, entering information for a new patient could take around 20 minutes. However, with the implementation of "薬師丸賢太", pharmacists can simply scan the prescription, and all necessary information will be auto-filled in real-time within the system.

As a result, the basic data entry now takes approximately 10 seconds, allowing for a total processing time of about 5 minutes when including subsequent verification from the pharmacist. This remarkable reduction in time not only empowers new pharmacists to produce operational-level data from the very first day but also enables senior pharmacists to focus more on final data verification rather than input tasks. The number of queries regarding decisions or operational steps has also been noticeably lowered, achieving a dual aim of increased efficiency and improved quality.

Fostering an Environment Conducive to Interpersonal Skills

In the pharmacy environment, training new employees often demands substantial time from senior pharmacists, particularly for repetitive tasks like prescription data entry. This allocation of time can detract from allowing pharmacists to engage in patient consultations or medication guidance—areas where their professional expertise is fundamentally required.

By assigning a significant portion of data entry tasks to "薬師丸賢太", senior pharmacists are freed from repetitive teaching duties, enabling a greater focus on individual patient interactions. This, in turn, cultivates an awareness of subtle changes in patients' conditions, fostering a more attentive and personalized care approach.

Additionally, new pharmacists gain valuable, automated experience from early on, helping them to adjust psychologically when they transition to field assignments.

Standardized Operations Across 137 Stores

Japan Medical Systems Corporation has implemented "薬師丸賢太" across all 137 stores, creating an environment where prescription inputs can be handled consistently and accurately. Previously, the input tasks relied largely on individual experience and skill, leading to variations in operations across different locations and roles. Such discrepancies often resulted in delays when transitioning between stores to assist or when branches required additional support.

Through comprehensive automation of reading prescriptions and supplementing data, "薬師丸賢太" effectively addresses these inconsistencies, enhancing the reproducibility of operations. As a result, even new pharmacists can smoothly carry out their duties, providing a consistent level of quality, irrespective of location.

At NeoX, we believe that this initiative transcends mere operational efficiency. It constitutes a pioneering effort to redefine the role of pharmacies, wherein AI handles administrative tasks, allowing pharmacists to concentrate fully on direct patient care. Moving forward, we are committed to fostering environments where pharmacists can leverage their expertise to maximize the value they deliver to patients.
